Understanding Recurring Events vs. Event Series

This help doc explains the differences between a recurring event and an event series and tells you when to use which type of event.

AddEvent offers two options for scheduling multiple events: Recurring Events and Event Series. Each serves a distinct purpose:

  • Recurring Events: A single event repeats on a regular schedule but cannot be customized individually for each instance.
  • Event Series: Multiple events are created at once, allowing individual customization and deletion for each event.

When to Use Recurring Events

Use a Recurring Event if:

  • You need a single event to repeat without changes (e.g., weekly meetings).
  • Each occurrence is the same, and you do need to do individual editing or deletion.

With recurring events, attendees can add all occurrences to their calendar in one step.

Why Individual Instances of a Recurring Event Cannot Be Edited or Deleted

AddEvent works with a variety of calendar platforms, each of which has unique rules for managing recurring events. Because of these differences, it is not possible to edit or delete individual dates within a recurring event.

Alternative Options for Customizing Recurring Events

If you need to skip a specific date in your recurring series (such as for a holiday) or if you want to change details for only one occurrence, consider these options:

  1. Create an Event Series: Set up an event series that excludes the dates you want to skip.
  2. Create Individual Events: Create separate, individual events for dates requiring unique details. This gives you complete flexibility over each event's details.

By using these methods, you can work around the limitations of recurring events and ensure that your events align with your specific needs.

When to Use an Event Series

Use an Event Series if:

  • You need to create multiple events that may require unique details or updates (e.g., a series of workshops).
  • An event in the series might need to be updated or deleted.

Since each event is unique, you’ll need to use a subscription calendar to share all events in the series with one link. Or, you can share them individually.

How to Create a Recurring Event

To create a recurring event, follow these steps:

  1. From the Event page, create a new event or select an existing one.
  2. Enable Recurrence: Check the Recurring box.
  3. Set Frequency: Adjust the repeat interval (e.g., every 1 week) by clicking the arrows or typing in the number.
  4. Choose Cycle: Select the recurrence cycle, such as daily, weekly, monthly, or yearly.
  5. Specify Days: Choose the day(s) of the week the event should recur.
  6. Set an End Date: Choose to end Never, After a set number of occurrences, or On a specific date.
  7. Save the Event: Click Create to save the recurring event. All occurrences will be added to attendees' calendars.

How to Edit a Recurring Event

Recurring events can only be edited from the original event and each change you make will be reflected on each instance of the recurring event.

Compatibility Note: Recurrence is supported by Apple, Google, Office365, Outlook, and Outlook.com. For Yahoo Calendar, we recommend using an event series.

How to Create an Event Series

Event series creation allows each event to be treated individually, making it perfect for customized schedules. Follow these steps:

  1. From the Dashboard: Click Create and select Event.
  2. Select Event Series: In the event creation window, choose Event Series.
  3. Set the Frequency:
    1. Select Days Until Date: Choose days on a calendar until an end date.
    2. Duplicate for Weeks: Select days and duplicate across chosen weeks.
    3. Select Each Day Individually: Choose dates manually one at a time.
  4. Save: After configuring, click Save.

Each event in a series will be independent, allowing individual editing or deletion.
