Reminder Emails for Recurring RSVP Events

RSVP events allow you to send confirmation and reminder emails to your event registrants for each event they register for. However, if you are sharing a recurring event with RSVP enabled, the RSVP reminder emails will be sent for only the first instance of the recurring event. The reminder emails will not be sent for each instance of the recurring event.

This is because there is an assumption that users will now have the event in their calendar - and their calendar vendor will remind them accordingly. If you want all of the events to have functional RSVP reminders, you'll have to create X number of individual events with RSVP enabled and have your users RSVP for each event.

How do reminder emails work for recurring RSVP events?

When you set up RSVP events in AddEvent, you can choose to send confirmation and reminder emails to people who register. These emails help remind attendees about their upcoming event. However, if you set up a recurring event (an event that repeats regularly, like weekly or monthly) with RSVP enabled, the reminder emails will only be sent for the first occurrence of the event. After this, reminder emails will not be sent for each future instance in the recurrence.

This happens because once a user registers for a recurring event, it’s assumed that the entire series will be added to their personal calendar. Their calendar app (like Google Calendar, Apple Calendar, etc.) will then be responsible for sending reminders for each future event.

How to Enable Reminders for Each Instance of a Recurring Event

If you want each instance of a recurring event to trigger RSVP confirmation and reminder emails, you will need to create each occurrence of the event as a separate, individual event with RSVP enabled. Here’s how:

  1. Create Individual Events for Each Occurrence: Instead of creating one recurring event, create separate events for each date/time you want to include in the series.
  2. Enable RSVP for Each Event: For each event, make sure RSVP is enabled so that registrants receive confirmation and reminder emails.
  3. Ask Attendees to RSVP to Each Individual Event: Share the individual event links with your audience, and instruct them to RSVP for each event they want to attend.

This approach ensures that each event will trigger a new confirmation and reminder email, keeping attendees informed for each instance in the series.
