Using AddEvent Subscription Calendars to Block Time in Calendly

If you’re using AddEvent subscription calendars and want the events you share to block availability in Calendly, this guide will show you steps to take in AddEvent and you can share with your subscribers to take the steps needed on their end.

This is useful if you’re sharing calendars for:

  • Trainings or classes
  • Company-wide events
  • Personal availability blocks
  • Team schedules

Once configured, Calendly will recognize AddEvent events as unavailable time and prevent double bookings.

Important: Calendly's ability to check for conflicts depends on the calendar provider being used. Not all calendar platforms support conflict checking for subscribed calendars and this is subject to change based on both Calendly and the calendar platform being used.


How AddEvent Works with Calendly for Google Calendar Users

AddEvent subscription calendars sync events to your personal calendar (Google, Outlook, Apple, etc.).

Calendly checks your connected calendars to determine availability but only calendars you explicitly select if using Google (Outlook does not support this behavior).

To ensure AddEvent events block time:

  1. The AddEvent subscription calendar must be selected in Calendly to check for conflicts.
  2. Events must be marked as Busy in AddEvent.

Step 1: Ensure Events Are Set to “Busy” in AddEvent

If you are the AddEvent account owner, confirm your events are set to Busy.

  • Events marked as Busy can block availability in Calendly
  • Events marked as Free may be ignored by Calendly

Step 2: Subscribe to the AddEvent Subscription Calendar

As the Calendly user, subscribe to the AddEvent calendar using your preferred calendar provider.
Your ability to block time in Calendly will depend on which provider you use.

Step 3: Select Your Calendar in Calendly

Once your AddEvent subscription calendar is synced, ensure it is selected in Calendly to check for conflicts.

  1. Log in to your Calendly account
  2. Open the Account dropdown
  3. Click Calendar Connections
  4. In the Check for conflicts section, click Edit next to your connected calendar
  5. Select the calendar where the AddEvent subscription calendar lives
  6. Save your changes

Calendly will now treat supported calendar events as unavailable time.


Calendar Provider Support Details

Google Calendar (Fully Supported)

Google Calendar provides the most reliable experience when using AddEvent subscription calendars with Calendly.

  1. Subscribe to the AddEvent calendar and add it to Google Calendar
  2. Confirm the calendar appears in your calendar list on the left
  3. Ensure the calendar is visible
  4. Select the calendar in Calendly under Check for conflicts

When configured correctly, Calendly will recognize AddEvent events and block availability.


Outlook Calendar (Limited Support - Subscription Calendars Not Recognized)

Outlook calendars can be connected to Calendly, but Calendly may not recognize subscribed calendars for conflict checking.

  1. Subscribe to the AddEvent calendar and add it to Outlook
  2. Confirm the calendar appears under your list of calendars
  3. Connect your Outlook account to Calendly

Due to current Outlook limitations, events from subscribed Outlook calendars may not reliably block availability in Calendly.


Apple Calendar (Not Supported)

Calendly does not support Apple Calendars. You cannot connect an iCal to Calendly.


Troubleshooting Tips

If events are not blocking time in Calendly:

  • Confirm the AddEvent subscription calendar is selected under Check for conflicts
  • Verify events are marked as Busy
  • Allow time for calendar syncs to complete
